Position Summary The Projects Coordinator role will work with the Chief of Staff of the Miami Office Managing Partner (OMP) and co-lead for On Chain: Reed Smith’s Crypto & Digital Assets Group for the advancement of the priorities and values.
Key drivers for success in this role are strong organizational and project management skills, a thorough understanding of the clients and the legal projects for the clients, commitment to internal and external client service, and a high degree of drive, initiative and judgment.
This role will be a member of the team that supports the Miami OMP and co-lead for On Chain: Reed Smith’s Crypto & Digital Assets Group and will work to drive forward marketing and business development efforts and client service.
The candidate must be adept at navigating complex, high-pressure environments and be comfortable working both independently and as a member of a fast-moving team.
This team is led by the Chief of Staff who works with various administrative members in the firm including marketing, recruiting, human resources, operations and finance to advance the practice of the OMP.
This role will work directly with Chief of Staff as well as the administrative areas of the firm mentioned above and interact directly with lawyers as well as vendors across Reed Smith, maintaining and fostering positive relationships.
This role will be required to use project management methodologies and tools to facilitate and execute project management, process improvement initiatives and process mapping efforts.
The role will be expected to organize and manage projects, organize and run marketing activities such as events and initiatives for the OMP as well as for the On Chain group.
They will be expected to understand the client base to better drive the practice of the OMP.
Essential Functions Take ownership of tasks and projects, as well as the organization and tracking of team tasks and projects, updating team tracking documents, and contributing to team meetings and team communications with key updates and status information.
Demonstrate flexibility and ability to be nimble in the face of changing priorities as well as ability to juggle multiple tasks/projects simultaneously.
Manage multiple projects and business development activities concurrently, juggling priorities, deadlines and essential project management duties for each respective project.
Track and follow up on open items for the OMP.
Research clients as well as areas of practice for the OMP so as to assist in the development of social media and marketing projects.
Attend client and internal planning meetings with Chief of Staff as needed, taking note of action items and follow up.
Learn marketing systems and process, such as event management systems and CRM.
Actively participate in initiatives and activities set by Chief of Staff and OMP.
Support the Chief of Staff in various projects as they relate to business development efforts associated with OMP.
Working with others, coordinates pitch materials, presentations and responses to Requests for Proposals (RFPs); facilitates presentation preparation by assisting with creating and editing materials.
Edit marketing collateral, including practice area descriptions and attorney biographies for print, website and intranet; facilitate posting updates to firm website and intranet as required.
Coordinate Crypto and OMP associated webinars, including overseeing scheduling and logistics, working with graphics and events team to develop and disseminate invitations, arranging additional promotion of the webinar through the firm’s digital and social media channels, assisting lawyers with related materials, and handling follow-up tasks as required.
Coordinate with the Chief of Staff the OMP participation in, and sponsorship of, local and national conferences.
Responsibilities would include handling attorney reservations or RSVPs, and coordinating and submitting advertisements, giveaways, logos, and other materials as needed for sponsorships and other external activities.
Assist in coordinating and planning Reed Smith-hosted client seminars and events.
Responsibilities would include development of invitations and invite lists, coordinating with venues on logistics, coordinating speaker calls, and assisting with event materials, event promotion, and day-of event needs.
Work closely with Chief of Staff to draft, edit and coordinate posting for the OMP social media platforms, including LinkedIn and Twitter pages.
